HVAC Service Visit Terms and Conditions
1. Service Call Authorization
By scheduling a service visit with Area Heating & Cooling, Inc, you authorize our technicians to diagnose, repair, or service your HVAC system as requested.
2. Trip & Diagnostic Fee
A non-refundable trip fee based on your location, the diagnostic fee coverts inspection/system evaluation and is billed in 15 minute increments, is due at the time of service. This fee covers travel, inspection, and system evaluation, regardless of whether repairs are approved.
3. Repair Estimates & Approval
• After diagnosis, we will provide a repair estimate for approval before proceeding.
• No repairs will be performed without customer authorization.
Additional repairs may be needed if the system of operations are still not performing based on the first repair.
4. Payment Terms
• Payment is due in full upon completion of the service visit.
• Accepted payment methods: [cash, card, financing, etc.].
• Unpaid balances may be subject to late fees.
5. No Guarantee of Immediate Repair
While we strive to complete repairs during the initial visit, parts availability, system condition, or complexity may require additional visits.
6. Customer Presence & Access
• An adult (18+) must be present during the service visit unless prior arrangements are made.
• Clear and safe access to equipment must be provided.
• We are not responsible for delays caused by restricted access or unsafe conditions.
7. Equipment Condition & Pre-Existing Issues
• We are not liable for failures of aging or compromised systems that occur during or after service.
• Customer acknowledges that repairs on older equipment carry inherent risks.
8. Parts & Labor Warranty
• Labor warranty: [e.g., 30–90 days] unless otherwise stated.
• Parts are covered by manufacturer warranties only.
• Warranty is void if the system is tampered with or not properly maintained after service.
9. Cancellation & No-Show Policy
• 24-hour] notice is required to cancel or reschedule.
• Missed appointments or late cancellations may incur a fee.
10. Safety & Refusal of Service
We reserve the right to refuse or stop work if:
• Conditions are unsafe or hazardous
• There is abusive or inappropriate behavior
• The system does not meet code or poses a safety risk
11. Limitation of Liability
To the fullest extent permitted by law, Area Heating & Cooling Inc is not liable for indirect or consequential damages. Liability is limited to the amount paid for the service visit.
12. Photos & Documentation
We may take photos of equipment for documentation, training, or quality assurance purposes. No personal or identifying information will be shared publicly without consent.
13. Customer Acknowledgment
By scheduling or accepting service, the customer agrees to these terms and conditions.
